Registrations to attend the IUPESM World Congress 2025 are now open.

Below are the registration rates, inclusions and terms and conditions for registrations. All fees are listed in Australian Dollars (AU$) and include a 10% Goods and Services Tax (GST). Please note credit card payments will incur fees – refer to “Payment Options” below.

Late Registration Fees

The Fine Print

  • To be eligible for the standard rates, registrations must be submitted AND fully paid by the deadline of 26 August 2025. Registrations with outstanding balances after this date will be updated to the applicable late rates.
  • Member rates are only applicable to current members of IOMP, IFMBE, ACPSEM and Engineers Australia.
  • Student rates are only applicable to individuals who will be full-time undergraduate or postgraduate students at the time of the Congress commencement in September 2025. Proof of student status will need to be provided at the time of registration. Without this, the relevant member/non-member rates will apply.
  • The Low and Middle Income Country (LMIC) rates are only applicable to individuals from one of the countries as classified by the World Bank Group. Individuals must be living and/or working in the listed country to qualify for the rates.
  • Please read the registration information below before submitting your registration.

Registration Information

Registration Entitlements

All FULL conference registrations include the following:

  • Daily catering
  • One ticket to the Welcome Reception. Registration options with a Congress Dinner ticket are offered
  • Opportunity to purchase additional guest tickets for social functions, if required
  • Entry to the trade exhibition across the Congress days
  • Congress pack (name badge and electronic certificate of attendance post-Congress)
  • Access to full program via the Congress app

All DAY conference registrations include the following:

  • Catering on selected day
  • Opportunity to purchase tickets for social functions, if required
  • Entry to the trade exhibition on selected Congress day
  • Congress pack (name badge and electronic certificate of attendance post-Congress)
  • Access to full program via the Congress app

Delegates may claim one (1) Continuing Professional Development (CPD) point for each hour of the Congress attended. The number of points awarded typically corresponds to the actual time spent participating in eligible sessions or activities, in line with the chosen professional body’s CPD guidelines.

Registration Procedure

Registration confirmation
Your completed registration and successful payment will be acknowledged via email, with a confirmation of your requirements according to your registration form. Your registration will only be processed or confirmed if payment accompanies your form.

Name badge
Each delegate of the Congress will receive a name badge upon registration. The badge will be your official pass and must be clearly visible at all times to obtain entry to all sessions and to social functions. The Congress Organisers expect appropriate behaviour from attendees and reserve the right to revoke the badge and privileges of anyone behaving in an inappropriate manner.

Payment Options

Credit Card
Please note all online registrations require immediate payment by credit card. Accepted credit cards are MasterCard, Visa and American Express. Please note all transactions by credit card will appear on your statement as payment to ‘Conference by Arinex’.

Payments by credit card will incur the following fees to cover administrative costs to process the payments and account reconciliations, transaction processing fees and compliance and security costs:

  • Visa and MasterCard – 2.2%
  • American Express – 3.0%

Invoice and Bank Transfer
Payment by invoice or bank transfer is on request basis only. Please contact register.wc2025@arinexgroup.com PRIOR to completing the form.

Cancellation and Refund

All cancellations and changes must be notified in writing to the Congress Organisers at register.wc2025@arinexgroup.com. Such requests cannot be accepted over the phone.

Registration fees: Cancellations on or before Sunday 29 June 2025 (ACST) will incur a AU$150.00 cancellation fee. Cancellations from Monday 30 June 2025 (ACST) to Tuesday 19 August 2025 (ACST) will incur a 50% cancellation fee. Cancellations on or after Wednesday 20 August 2025 (ACST) will not be entitled to refunds.

Cancellations due to Australian visa rejections will only be accepted until Sunday 29 June 2025 (ACST). Proof of visa rejection (letter) from the Australian Government must be provided. Such cancellations will receive a full refund less AU$150.00 cancellation fee.

Social function tickets: Payments are non-refundable from Wednesday 20 August 2025 (ACST).

Disclaimer

The program and any published materials are correct at the time of publishing. The organisers reserve the right to delete, modify or alter items from the program or to delete, modify or alter any aspect of the Congress timetabling and delivery at their sole discretion and without notice. Neither the host organisations nor the Congress Organisers will accept any liability for any loss or inconvenience caused to any party consequent to such changes.

The Congress Organisers reserve the right to use any recordings whether audio or video and/or any photographs taken at any stage during the Congress for promotional, advertising or reporting of the Conference and/or its content at their sole discretion.

Code of Conduct

The Organiser of IUPESM 2025 (the “Event”) reserve the right to remove from the venue/Event at any time any attendee deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to refund of any fees paid. Please view the Code of Conduct which all attendees are expected to comply with.

Harassment at Conferences: It is the policy of the International Union of Pure and Applied Physics (IUPAP) that all participants at an IUPAP-supported Conference will enjoy a comfortable experience, and that they will treat each other with respect at all times. The Congress Organisers will appoint two advisors at the Congress who will consult with those who have suffered from harassment and who will suggest ways of redressing their problems, and an advisor who will counsel those accused of harassment. Congress Participation Policy

Free Circulation of Scientists: The principle of the Universality of Science is fundamental to scientific progress. This principle embodies freedom of movement, association, expression and communication for scientists, as well as equitable access to data, information and research materials. In pursuing its objectives with respect to the rights and responsibilities of scientists, the International Union of Pure and Applied Physics (IUPAP) actively upholds this principle, and, in so doing, opposes any discrimination on the basis of such factors as ethnic origin, religion, citizenship, language, political stance, gender, or age. IUPAP should only sponsor conferences and events at institutions and in countries that uphold this principle. If scientists are excluded from attending IUPAP-sponsored international conferences by a host institution or country on the basis of any of these factors, IUPAP should register its concern at the highest level of that institution or country, and should not sponsor any future events in that country until such exclusions have been eliminated. Beware of Spam Emails from Third Parties

Please note communications sent by external travel providers are not associated with the Congress Organisers, Arinex. All official event travel and accommodation arrangements, and communications regarding your registration will be sent to you directly by Arinex. If you receive any external communications please note proceeding with booking with an external provider is at your own risk and no liability will be borne by the Congress Organisers.

Visa Requirements

All visitors travelling to Australia must have a valid visa. It is strongly recommended that Australian visa applications are lodged at least two months prior to departure from your point of origin. Please contact register.wc2025@arinexgroup.com should you require a welcome letter. Welcome letters will only be issued to registered and paid delegates.

The Congress Organisers are not responsible for any mandatory quarantine fees and travel and border responsibility rests with the individual arriving into Adelaide, Australia.
